To Create a Change Request Using a Form

You can register changes to physical items, documents, tags, or virtual item groups by either requesting the change from the object itself or by filling out a change request form and then identifying the principle affected object.

  1. Do one of the following:

    Select File > New > Change Request.

    or

    Open the object that requires a change in the Content pane, then click the Add Change Request icon in the action bar.

    The Change Request form opens in the Content pane.

  2. Fill out the form as needed. All fields are required except for the Class field.

    Number A unique number or code that identifies the change request. The change request number is either auto-generated based on a predefined mask, or it can be manually configured if there is no predefined mask or if you need to override the auto-generated number.

    To manually configure the change request number, you can either enter a fixed value (for example, CR-12345), or you can enter a mask (for example, CR-#####) and then click the Auto Number icon to generate the next available change request number. For example, if you enter CR-##### as the mask and the highest change request number in the community is CR-00100, the next available change request number would be CR-00101.

    Tip: The Change Request Mask is used to auto-generate the change request number when the form opens and is defined by the administrator in System Defaults (System Admin > System Defaults > Identification > Change Request Mask).
    Requestor The name of the person requesting the change. This defaults to the user requesting the change.
    Organization The related organization to the requestor
    Date Requested The date the change was requested. This defaults to the current date.
    Class The class specified for the change request.
    Description A description of the change to be made.
    Reason A reason why the change is being requested.
    Priority Defines the urgency of the change request. The list is user definable, so each enterprise may have different descriptions (such as Low, Normal, Urgent) for their priority levels.
    Category Currently allows three predefined categories which need to have enterprise criteria defined as a guideline.
  3. Click the Add icon in the action bar.

    The change request is created. You can now define additional relationships for the change request. The information entered into the Description field displays in the tab at the top of the Content pane.

  4. If you created the change request from an open object, then the appropriate Affected <Object> topic will contain the object against which the change request was raised. The object itself will now carry a status of Draft. If you created the change request by selecting File > New > Change Request, then at this point you need to open the appropriate Affected <Object> topic and add the principle affected physical item, document, tag, or virtual item group.
